When we started Trialfacts in 2006, we used traditional media advertising (newspaper, radio and TV advertising) for older demographics and online advertising for younger demographics. Since then, there’s been a shift in which these traditional advertising sources have declined in reach and performance, and digital campaigns have grown. Since 2013 we’ve been focusing exclusively on digital recruitment campaigns, as they are significantly more cost-effective, predictable, have more extensive reach—they also work well for people aged up to (and including) the early 70s, and allow us to finetune campaigns to provide a steady flow of participants. These methods include social media advertising (e.g. Facebook, Instagram), search advertising (e.g. Google, Bing), mobile (smartphones and tablets) and our internal patient and volunteer database.
To begin our Due Diligence process, we need the full eligibility criteria, a consent form (or something which details the participant’s involvement) and the answers to a few logistical questions, such as how many participants you’re looking for and your location. Once we’ve received that information we will complete our analysis and send you the Recruitment Plan for your study. No, there’s no cost or contracts associated with the Due Diligence process and Recruitment Plan creation. Our Due Diligence process is simply our way of providing recruitment certainty by determining what we can guarantee for your study. Once we’ve completed the process, there’s no obligation to engage us for recruitment, and no “hard sell”. After we provide you with the Recruitment Plan for your study you will have the option to schedule a call with us to discuss the plan.
The Due Diligence process requires significant time from our team, and takes approximately one week to complete, once you’ve provided us with the information we need to get started (which you can do so right now here). If you decide to move forward, it then takes approximately one week to put together all advertising and promotional material and begin recruitment.If you have a tight timeframe and need recruitment to begin immediately, ask us about our Rapid Recruitment service.
Yes, we also provide a Rapid Recruitment service which we can discuss during our call.
If you decide to engage Trialfacts to assist with recruitment after the Due Diligence process, the next step is for us to put together all promotional material (advertisements, study web pages and landing pages, online prescreening questionnaire, participant emails etc.) we’ll be using for your study.We’ll then provide the promotional material to you in a single document. You can provide us with any feedback you have, and once finalized, the promotional material document can be submitted to IRB/Ethics. The document contains explanatory notes so the committee knows exactly how we will advertise and recruit for your study, and has been successfully submitted to hundreds of committees.

Once the questionnaire is complete, your study will enter our queue to have us create a Recruitment Plan, forecast recruitment, and determine how many participants we can guarantee, the recruitment timeframe, and the exact cost.
